Frequently Asked Questions

When is a letter of apology needed?

When you have made a mistake, failed to do something you were responsible for, or cannot keep a promise – missing an event, returning something late, causing someone trouble. The letter admits it and offers to put things right.

Is an apology letter formal or informal?

It can be either. Apologising to a friend for missing their party is informal; apologising to a customer, a teacher or an organisation is formal. The structure stays the same in both cases, only the greeting, the phrasing and the sign-off change.

What goes into the main paragraph?

The reason for the trouble you caused, explained honestly and briefly. An explanation is not the same as an excuse: state what happened, acknowledge the inconvenience, and avoid blaming other people, which makes an apology sound insincere.

How should an apology letter end?

By offering to make up for it – replacing something, meeting again, or putting the mistake right – and repeating the apology in different words from the opening so it does not read as a copy of the first line.
